Following the event

Read the live dashboard, spot the locations that fall behind, share and export.

Opening the dashboard

Open the event from Events and press View Dashboard. The dashboard opens in its own window, so you can keep it on a second screen while you work.

The dashboard updates by itself within a few seconds of every change: reports from coordinators, undos, checklist answers, and edits to the event. The line at the bottom shows the time of the last update.

Reading the grid

Locations are rows, steps are columns, in the order of the run of show. Under each location’s name you see its coordinator.

  1. Collapsed column. A step every location has completed shrinks to a narrow ✓ column. This keeps the grid readable as the event moves on.
  2. Orange header. Steps that some locations have completed and others haven’t. This is where the event is happening right now.
  3. Red edge. The location is lagging: it has not yet reached the furthest step completed by any location. These are the locations to call.
  4. Completed cell. ✓ and the time the coordinator reported the step. If the coordinator added a note, hover over the cell to read it.

A cell that has just been completed flashes briefly, so new reports catch the eye.

Checklists summary

Under the grid, one row per location summarises each checklist:

Sharing the dashboard

Press Share on the event form to get the public dashboard URL. Anyone with this link can follow the event without logging in: the same grid and checklist summary, read-only. See The public screen.

Exporting to Excel

On the dashboard, press Export Excel. The workbook contains:

  • a Dashboard sheet with the grid: one row per location, the completion time of each step;
  • one sheet per checklist, with each location’s answers.

You can export at any time, during the event or afterwards, including for archived events.

Checking and correcting reports

The Administration menu has two lists across all events: Step reports (who completed which step, when, with which notes) and Checklist responses. Use them to review an event in detail or to fix a report on behalf of a coordinator, as long as the event is not archived.
